Travel Notices

As of April 1, 2022, the Government of Canada will admit only fully vaccinated travelers to Canada, by land, air or water. You can review the information regarding the requirements on this website. Pre-entry tests are not required for fully vaccinated travelers. Presently, masking is required in certain locations. 

If you do not meet the requirements of a “fully vaccinated traveler,” you will be either denied entry into Canada, required to quarantine for 14 days, or required to quarantine until you depart Canada. Unvaccinated and partially vaccinated children five years of age or older must provide a valid pre-entry test result, even if they are accompanying a fully vaccinated adult. See the Canadian website (travel.gc.ca) for qualifying test types.  

Each fully vaccinated traveler must use the ArriveCAN mobile app 72 hours before arrival or sign in on a computer to enter proof of vaccination, quarantine plan, and travel information. Upon entry to Canada, even though you are fully vaccinated, the border services may notify you that you’ve been randomly selected for a mandatory arrival test. Please see the Government of Canada website to get more information about acceptable vaccination proof, quarantine plan requirements, and about ArriveCAN.

Admittance into Canada: Criminal Convictions

Please be aware that Canada may or may not allow persons with criminal convictions (including DUI/DWI) to enter the country. Depending on the crime and how long ago it was committed, as well as other factors, you may be “criminally inadmissible.” If these circumstances apply to you, please consult Canadian law and authorities before you attempt to enter the country. Heartland will be unable to assist or provide the stipend if you attempt to enter Canada for the Incentive event and are denied entry.

Flight Booking Process

In order to initiate your flight booking process, please complete the registration form. Once the Events team has received your completed registration form, we will contact you with a couple of flight options. From there, we will work directly with Travel Inc. to book your flight. If you are bringing additional guests (outside of yourself and the primary guest) you may either book their flight with the Events team (and provide a personal credit card to cover the flight) or you can book the flight on your own directly with the airline. If you choose to book the additional guest flights directly with the airline we cannot guarantee seats will be assigned together. 

Important information regarding flights: If you do not book your flight through Heartland’s process, you will NOT be reimbursed for the flight.

Transportation

Heartland Ground Transportation Information: Upon your arrival at YVR, please proceed to the baggage claim area. Once in the baggage claim area, you will be greeted by a transportation coordinator with a Heartland sign. Please connect with the coordinator and they will point you to the direction of the Heartland transportation. Please note – the airport is approximately 2.5 hours from the resort in Whistler. Guests will be provided with beverages & snacks on the Heartland transportation vehicles. 

Rental Car information: Please note there is currently a shortage of rental cars available due to the shortage in the automobile industry. Our partners in Canada have strongly recommended and encouraged us to use group transportation if at all possible. If you do choose to rent a car, Heartland will not reimburse for said rental – you will be personally responsible for both the rental and the parking fees at the Fairmont Chateau Whistler. If you choose to rent a car, you are responsible for notifying Events@Heartland.us. If you fail to notify the Events team, you will be responsible for covering the cost of your transportation to the hotel that was paid for by Heartland, but not used. Said invoice will be sent to the employee within 10 days of the conclusion of the incentive trip.

Trip Attendance Options

To facilitate internal planning and coordination with our hotel, service, event, and other vendors, any Heartlander who is unable to attend because of the fully vaccinated status requirement or the criminally inadmissible rules set by the Canadian government must notify me, in writing via email, no later than May 1, 2022. 

If you earned this spot through a contest and are unable to attend because of Canadian law, you will be provided a taxable cash stipend in lieu of attendance in the amount of $5,000. Once I receive notification that you will not be attending for one of these reasons, a stipend payment will be earmarked for you, to be paid on or about June 27th.  

The deadline for notification to Randie Vasso and the declaration of attendance (or not) may not be changed after May 1, 2022. If you plan to attend (and we hope you will), please review the requirements on the Canadian websites very carefully, to be sure you can comply.
